How to Plan a Trip: Itinerary, Bookings, Budget and Packing
Organize a trip in one place: a day-by-day itinerary, bookings with free-cancellation deadlines, a budget against actual spending, shared costs and a packing list.
A good trip plan answers four questions at a glance: where am I each day, what have I booked, what am I spending, and what am I bringing.
Day-by-day itinerary
One row per day (or per activity): date, city, plans, the booking it relates to, and notes like opening hours or tickets. Keep it loose. The itinerary's job is to stop you double-booking or missing something, not to schedule every hour.
Bookings with cancellation deadlines
For each flight, stay, rental or tour, record the confirmation number, cost, whether it's paid and the last date you can cancel for free. Sort by that date. If plans change, you'll know exactly which bookings you can still drop without losing money.
Budget vs. actual
Set a planned amount per category: transport, lodging, food, activities and extras. Log spending as you go. Checking daily for two minutes beats discovering the total at the end.
Shared costs
Travelling with others? Record who paid for what and how it splits. A running "who owes whom" settles everything in one transfer at the end instead of dozens of small ones.
Packing and pre-trip checklist
A reusable packing list with checkboxes is easy to reuse for each trip. Add a "before you go" list too: documents and their expiry dates, travel notices with your bank, pet or plant care, chargers and adapters, and offline maps.
