How to create eBay listings in bulk from a spreadsheet
eBay lets sellers add, revise, relist and end listings by uploading a file instead of using the listing form. The file has to follow the column layout of a template that eBay gives you. This guide covers how to get the template, fill it from your own spreadsheet, and upload it safely. It is based on eBay's Seller Hub Reports help; eBay may change the steps, so check the current page.
Step 1: get the template from your own account
- In Seller Hub, go to the Reports tab.
- Select Upload on the left, then the Get template button.
- Choose Listings as the source and Create new listings template as the type, then Download.
eBay's help also describes a Create drafts template. It says that creating new listings through the Reports tab generally requires image hosting, but with the drafts template you can leave the image URL column blank and add images later when converting drafts to listings.
eBay recommends trying one product first if you are new to Reports. Templates created in the older File Exchange tool do not carry over, so download a fresh one.
Step 2: fill the template
- Save the template as CSV (or keep it as .xlsx if you use Excel). eBay's Reports Guide describes templates as structured flat files that are saved locally, filled in and re-uploaded; flat files are comma- or tab-delimited.
- Do not rename, reorder or delete columns, and keep any rows above the header that the template includes. Keeping the structure as downloaded makes sure the upload matches the template.
- Copy your values in from your own product sheet column by column. Respect each column's allowed values; the template and eBay's help describe them.
- Check text that starts with
=,+,-or@; spreadsheets can treat those as formulas. See our guide on protecting CSV files.
Step 3: upload
- Go back to Reports → Upload and select Upload template.
- Choose .xlsx if you use Excel, otherwise .csv.
- Select the template type you are uploading, then Upload.
- eBay says processing usually takes less than 15 minutes (longer for very large files), and then a message says the upload is complete and a downloadable report of the actions taken is created. Read that report: it is where errors appear.
Reducing the chance of errors
- Start with 2 or 3 rows. Fix every error, then upload the rest.
- You are responsible for the accuracy of each listing and for following eBay's listing policies. A file upload does not check your content for you.
- Keep a copy of the file you uploaded.
If your product data lives in a different layout from the template, a column mapper does the copy-and-paste step. Listloom maps your own spreadsheet columns onto the header row of a template you load, including joined text, lookups and length limits, and exports CSV or tab-delimited text in your browser. It does not include or update marketplace templates and does not connect to eBay; it has no affiliation with eBay.
